Why we should do project debrief:
For each project, we will do project debrief once the project is finished. The purpose is to go over again the whole project to know what we do well and what we need to do better in next time.
This gives us a chance to learn from the each project and keep doing well in the future.
How you could prepare the project debrief:
Before the project debrief meeting, please send out one summarized email with all the details to the members who have joined in the project.
In the email, please give a recap for the project deliverables. Basically, you need to list what is the quote and what you have finally delivered to clients. Besides, you should also include the timeline screenshot on harvest (https://threaddesign.harvestapp.com/projects) so that we could review the hour budget whether the project is finished within the planned hours. The last part will be the questions for each team member to think before meeting and discuss during the meeting.
Below will be an example.
Hello Guys,
Let’s debrief the ESSE VI project next Monday.
Project data and question to prepare are listed below:
What is expected of the debrief:
The goal of the project debriefs is to identify possible ways:
- to improve the way we work together and trouble shoot any process flaws
- to find ways to increase our clients’ satisfaction, so we can keep on growing the company
- to ultimately increase our own happiness and satisfaction when working on projects
When working on project, we all have a different point of view. As such, gathering everyone’s feedback makes the conclusions richer and the picture more accurate.
Looking forward to it!

Hours usage: see hours below:

Kind note: We don’t assign Harry on the project. The total hours we spent should also add Harry’s hours in, hence it would be 74.67h.
Feel free to review some of the key presentations in Global Drive before answering the questions as well.
Please spend a few minutes to think of the below questions before the meeting:
- Are the hours above reflective of your time spent? If not, please make you best guess to assess how many hours you actually spent and bring it to the debrief meeting.
- What you feel went well?
- What could we have done better?
- What could we do better next time (work outcome, efficiency, client management, etc.)?
Please bring your answers with you for the meeting.
Thanks a lot!
How you should do in the debrief meeting:
Basically, we need to discuss the questions from email in the meeting one by one. Everyone needs to speak out their ideas. Please kindly noted that AM will record the notes and send out the meeting recap after meeting.
